Sr. Controller/ VP of Finance, Administration

Fast-growing agency seeking seasoned executive to come in and lead our financial & administrative department, reporting directly to CEO.  As a key member of our Management team, this person will be accountable for all back-office functions, to include Finance, HR, IT/Facilities and all general administrative needs of multi-office, multi-state firm.  This position will also directly oversee a team of three staff members (1 – Sr. Accountant, 1- P/T HR Manager, 1-Office Manager).  We need a strategic leader, not simply an Accountant, to help “run” the company.  Government contracting experience strongly preferred, as our business is heavily in the government services arena.

Duties and Responsabilities

Financial/Accounting
Ensure that accurate and complete accounting is performed, including general ledger (GL), accounts payable, cash disbursements, customer credits and collections, fixed assets, invoicing/billing, job costing, and payroll.
  • Issue timely, accurate and complete financial statements
  • Build and maintain reliable forecasting model
  • Calculate, analyze and issue financial and operating metrics
  • Calculate variances from the budget and report significant issues to management
  • Client revenue /expense reconciliation analysis and reporting
  • Develop and maintain a dashboard for key business drivers and metrics
  • Implement and maintain separate financials for various business units and lines of business
  • Oversee work of Sr. Accountant as it comes to day-to-day Accounting
  • Maintain Company schedule of billable rates, updating and evaluating as necessary
  • Manage treasury functions of Company, overseeing what gets disbursed and when, and balancing with short-term and long-term needs of firm
Human Resources
As the senior-level Company contact for Human Resources, this position is expected to be knowledgeable in Federal/State HR law and processes.
  • Oversee HR Manager in all aspects of recruiting, talent management, talent retention
  • Provide employees in multiple offices senior-level guidance as to HR matters
  • Be the company’s key fiduciary in 401(k) plan management and reporting
  • Manage a cost-effective employee benefits package
  • Represent the Company with all State Boards, legal issues, and various UI/Workman’s Compensation needs
  • Work with CEO and Department Heads on resource allocation, freelance vs. staff modeling, and all negotiations
  • Lead payroll processing through Paychex, including employee setup, deductions, garnishments, PTO management, and all reporting
Facilities/IT
The company currently has a Los Angeles headquarters, a large branch office in Washington, DC, and is growing with presence in Austin, TX, Atlanta, GA and on-site employees in Little Rock, AR. 
  • Manage all aspects of facilities in all offices, from negotiation /finding space to build-out to infrastructure set-up
  • Ensure telephony (VOIP Phones, Internet) is available and optimized per location
  • Lead in-house and out-sourced staff to optimize server/IT infrastructure, office-to-office connectivity and efficiency
  • Oversee budget for all hardware and software expenses across the company, scaling for growth while managing for reasonableness
  • Lead any and all issues for local LA-office space planning, event planning, etc.
Compliance
  • Comply with local, (multi-) state, and federal government reporting requirements and tax filings
  • Coordinate external audit and tax return preparation
  • Manage company’s insurance portfolio, serving as key liaison with all insurance brokers and managing all elements of company insurance across all offices (errors and omissions, liability, umbrella, workman’s compensation, etc.)
  • Monitor debt levels and compliance with debt covenants for any line of credit needs
  • Manage all business preference certifications on the local, state and federal level (DBE, MBE, SBE, etc.)
  • Oversee all government audits
  • Move forward, analyze, interpret and execute all city, state and federal client government contracts according to unique requirements within each, i.e. billing structures, contract modifications, pricing competitiveness
General/Operational
  • Participate in key decisions as member of management team
  • Build short-term and long-term strategic growth plans, lead and present at staff-level and management-level meetings
  • Manage any third parties to which functions have been outsourced
  • Oversee company timekeeping initiatives and manage 3rd party vendor providing services 
Qualifications
  • 7-10+ years of experience in Accounting/HR functions at a Controller-level or above
  • Excellent knowledge of GAAP
  • Near-perfect MS Office skills
  • QuickBooks Fluency, Computer-Savvy nature
  • Resourcefulness, ability to ‘get the job done,’ employer-based work ethic
  • Experience in or full comfort with creative, agency feel (casual work environment)
  • Bachelor’s Degree in Accounting
  • Experience with Paychex or ADP
  • Ability to make quick but sound judgment calls
  • Comfort with working in a frantic environment at times with shifting priorities and goal lines
Preferences
  • 3+ years of prior advertising agency Accounting experience
  • CPA or MBA a plus
  • Government Contracting experience
